Description
Seeking a Project Administrator with strong organizational and communication skills to provide administrative support to the Project Management team.
A self-starter with good initiative and adaptability to work within a fast paced dynamic environment. Works under general supervision to assist and support the Project Management team in the planning, directing, controlling and monitoring of project activities to meet cost, schedule, technical and contractual obligations. At this level, the Project Administrator has good knowledge of the company products, processes and key personnel and should be capable of taking the lead on straightforward project activities.
Tasks
- Maintains the Project Master Schedule.
- Monitoring of check lists and sign off documents.
- Assists with the coordination of customer travel and lodging logistical needs.
- Supports customers visits/meetings and internal and preparation of formal reviews (i.e. SRRs and DRs) generates meeting minutes etc.
- Maintains the project database (actions, correspondence, deliverables, etc.)
- Analyses project status, orders, SNAG status and progress based on project data and assists with preparation of reports for the PMs.
- Tracks invoicing, and reconciles accounts receivables with Project Manager
- Provides liaison between PM and Finance on all invoicing and collection matters
- Assists the Department Manager by managing the important Project Contract files, KPIs and Governance for the PM group
- May acts as a primary liaison with Customer on simple project matters
Requirements
- College degree and three years of related experience or University degree in Commerce and one year of related experience.
- Advanced skills in MS Office (MS Project, Word, Excel, PowerPoint, Visio).
- Knowledge of SharePoint.
- Ability to multi-task, effective time management/deadline skills.
- Good analytical and tracking skills.
- Proven ability to work independently as well as part of a team.
- Knowledge of/or the ability to pick up technical terms.
- Strong analytical and problem solving skills
- Strong documents/records management skills
- Customer centric
- Effective communication skills both written & verbal
- Ability to interact effectively internally and externally
- Ability to handle confidential/sensitive information with discretion
